City staff asked the Parks & Environment Committee to approve a one-year renewal of Placer AI, a visitor-analytics service the city uses for event staffing, grant metrics and economic analysis. Staff said the service was priced last year under the $25,000 administrative threshold but a vendor price increase now requires a formal committee/council approval. "Last year, being a professional service under 25,000, we were able to do it administratively. This year... it's bumped up so it's got to be approved by council now," the presenter said.
Committee members pressed staff on data ownership, storage and privacy. Staff responded that Placer AI maintains the underlying data and the city does not store the raw dataset in-house; staff said the vendor provided legal response letters when the city was asked for records. Staff also said Placer AI’s standard processes block minors and sensitive locations from their outputs so the city does not receive data for children or protected sites.
Supporters on the committee noted the product’s value for grants, policing logistics, and economic-development insights. One council member said the product helped justify the turf expansion by producing attendance estimates for the sports park; staff said those metrics were among the reasons they recommended renewal. Committee members agreed renewal was appropriate and voted to move the contract renewal to full council for final approval.
