Board to form small workgroup to streamline monitoring reports and align with strategic plan

At a study session, the Northshore School District board discussed revising how it receives monitoring and parameter reports and agreed in principle to form a small workgroup to develop recommendations.
Superintendent Justin Irish proposed two tasks for the subgroup: (1) review existing monitoring parameters and determine whether some reports should be redistributed, synthesized or combined (he cited parameter 9 as an example), and (2) clarify report expectations to better align monitoring reports with the district's annual operating plan and the strategic plan. He recommended two board directors (Elizabeth and Han were suggested) meet with him, Deputy Superintendent Jolynn Bergey and cabinet members between now and spring to unpack the questions and bring recommendations back to the full board.
Board members described three core objectives for the work: gain efficiency, increase alignment with the strategic plan and improve the usability of reports for oversight. Directors noted concerns that many current reports are overly granular ("the kitchen sink"), can duplicate work across departments, and sometimes arrive out of sync with the board's decision cycle. Several members suggested creating a crosswalk linking strategic-plan outcomes, annual operational plans and parameter expectations so the board can quickly see which metrics demonstrate progress on priority goals.
Directors cautioned that a full refresh of all parameters is time- and labor-intensive (one director estimated "2 to 3 hours per parameter") and recommended a phased approach: prioritize technology/format fixes and small wording changes first, pilot a few adjustments, and bring any formal parameter deletions or rewrites to the full board for consideration. Board members also proposed alternative delivery formats (digestible one-pagers, checklists tied to school visits, or question-driven summaries) to make oversight more accessible to the public.
The board concluded the discussion with general agreement on the problem statement (efficiency through focus and alignment) and on the workgroup approach. Staff will draft a scope and timeline for the subgroup to present at a future study session.
