Gateway School Board narrows overnight-use policy, requires case-by-case board approval

The Gateway School District Board of School Directors voted to amend Policy 707 on the use of district facilities so that any overnight use must be approved by the board on a case-by-case basis.

Board members debated safety concerns, advance-notice timing and administrative placement of the language before voting. One member proposed adding a 60-day notice requirement for overnight requests; another recommended explicitly spelling out 'case-by-case' approval to avoid blanket authorizations. "Overnight use of facilities will be permitted on a case-by-case basis for individual board approval," a board member urged during discussion, a formulation the board accepted as a friendly amendment.

Facilities staff said the change will be reflected in the revised policy text (Policy 707) and incorporated into the existing facilities-application process; organizations seeking overnight use will be expected to work within the board's meeting cadence and provide sufficient lead time so the board can consider approvals without calling special meetings. The board also discussed a possible grace period for reservations already made, and directed facilities staff to include the revised language in the policy document before final publication.

The amendment was moved, seconded and approved by roll-call vote. The chair declared Policy 707 "set" with the adopted amendment; board members said they would coordinate further details such as exact notice windows and a grace period for previously booked events.

The change is procedural (approval requirement and application timing) rather than a budgetary allocation; staff said the current application process remains in force and that overnight requests will simply be routed for board consideration.
