Douglas County moves fairgrounds to application-based booking; raises rates, reduces nonprofit discount

The Douglas County Board of County Commissioners unanimously approved an update to the countys Fairgrounds business model on Oct. 28 that moves the venue from a legacy first-come, first-served reservation system to an application-based booking process designed to prioritize large, multi-day events while preserving slots for smaller community uses.

Zach Burns, fairgrounds manager, told the board that staff defined three event classifications with booking windows between six and 24 months to allow the largest events a predictable opportunity to secure prime dates. Burns said the updated policies also revise fee categories, alcohol and security requirements, and operational procedures for reservations and cancellations.

As part of the change, Burns said rental rates will be adjusted roughly 50% across most facilities to bring Douglas County in line with comparable Front Range fairgrounds. The presentation also proposed reducing the nonprofit discount from 50% to 35% to make rates more consistent with peer venues while preserving discounted access for civic and charitable organizations.

Commissioners praised the plan as balancing community access with opportunities to attract regional and national events. One commissioner referenced interest from organizers of large dog shows and other multi-day events as examples of bookings that could bring hotel occupancy and economic activity to the county.

A motion to approve the fairgrounds business model adjustment was moved, seconded and passed by unanimous voice vote.
