Kent authorizes Granicus agenda-management addendum; estimated annual cost will rise

The Committee of the Whole authorized staff to execute a current addendum and permitted the mayor to approve future addenda for a new Granicus agenda-management system, the city clerk said.
Kim Komodo, city clerk, explained the city's current agenda-management product is at end-of-life; the proposed Granicus system integrates with the city's Laserfiche records workflow and will consolidate agenda, minutes and video across boards and commissions. The proposed agreement covers implementation plus three years of service; Komodo said the new system carries more features and an estimated higher annual cost than the legacy product (staff provided a current system cost of about $20,000 per year and said the new system would be in the neighborhood of $50,000 annually after implementation fees).
Why it matters: The new system is intended to improve records workflow, integration with Laserfiche and user-facing agenda/minutes/video access for boards, commissions and the public. Komodo said implementation costs were negotiated down and that the agreement will be aligned to expire with the city's broader Granicus contract term.
Council action: Council authorized the mayor to incorporate the meeting proposal and future addenda to the Granicus software agreement, subject to final terms acceptable to the IT director and city attorney and provided purchases remain within the city's established budgets.
Operational note: Staff said public-records requests are handled by a separate system (govQA) and that the Granicus purchase covers agenda/minutes/video and workflow integration.
