Triton committee weighs Boardable as replacement for BoardDocs, staff authorized to proceed with contract steps

At the Oct. 8 meeting the Triton Regional School Committee discussed options to replace the BoardDocs meeting-management system. Administration presented two proposals: Diligent Community (the vendor that acquired BoardDocs) and Boardable, an alternative platform.

Brian explained that the district's current BoardDocs contract is being sunset by the vendor and described Diligent Community as the successor to the current platform. He said the district received late notice of the sunsetting and that the vendor later extended access for another year. "Diligent Community is their new version of BoardDocs," Brian said.

Staff reported Boardable as the lower-cost alternative with a simpler interface and full support for hosting and searching the district's policy manual. Brian said Boardable proposed an annual cost roughly $4,000 lower than Diligent Community and offered a prorated onboarding plan that would allow the district to begin migration immediately but delay payment until March. "It's $687 a month. So for the 4 months, it'd be $2,700," he said.

Committee members asked whether policies and governance documents would be included; administration confirmed Boardable would host the policy manual and provide searchable access and governance tools. With no substantive objections, a committee member indicated they were comfortable with Brian signing the contract and proceeding with migration planning; the chair said she would proceed accordingly. The committee did not take a formal vote on vendor selection at the meeting.

If the district proceeds with Boardable, staff said they would run both systems in tandem for a transition period and migrate prior agendas and minutes into the new platform before the current service ends.
