Chandler Unified to pilot digital 'Grad Tracker' next semester to replace paper credit checks

Chandler Unified staff told the governing board on Oct. 22 that Grad Tracker — a digital graduation‑planning tool integrated with Infinite Campus and Tableau — will replace paper binders for high‑school credit checks and provide counselors, administrators and families real‑time visibility into on‑track status.
Dr. Dela Torre and lead counselor Maria Kalia Anderson described the current process as “paper and pencil” credit‑check binders that are time consuming to maintain, not transparent to parents, and prone to transcription errors when students transfer or when staff change. Anderson said the district’s average high‑school counselor caseload is about 1 counselor per 424 students, making an efficient, shareable digital view a high priority.
The proposed Grad Tracker assembles three data elements for each student: the transcript (earned credits), current in‑progress classes and planned future courses (the academic planner). Counselors and technical staff are mapping counselor knowledge and graduation rules into an electronic business logic layer within Infinite Campus so that transcripts, in‑progress grades and a student’s planned four‑year sequence combine to display on a single page that is parent‑viewable.
Dr. Kent Woods demonstrated the Tableau side of the implementation: dashboards will show site‑level counts of on‑track vs. off‑track students, counselor caseload distributions, and student lists sorted by credit deficits. Woods said the district will pilot the system next semester at Arizona College Prep, Perry and Casteel/Castile, and the pilot will test data flows, alerts and counselor workflows. A parent‑facing view will be available through parent portal; staff emphasized the district’s plan to provide translated outreach and to use ParentSquare and the district website to push links and information.
Anderson and Woods said the pilot aims to reduce counselor time spent on manual credit checks, raise parent awareness of on‑track status earlier, and permit weekly or biweekly counselor alerts when students move off track. The district plans one‑on‑one counselor meetings with students during registration and to use the system in master‑schedule planning. If pilot results are positive, Grad Tracker will expand for broader use in the 2026–27 school year.
