Library board adopts study-room policy with booking limits and staff oversight

The Port Washington Library Board voted to adopt a new study-room policy after questions about enforcement and software limitations.
Member 2 moved to approve the study-room policy and Member 3 seconded; the board approved the motion by voice. The policy establishes booking limits to discourage long-term single-user occupancy and allows staff to track and address repeat overuse.
Assistant Director Rosalia explained the library’s current booking software is designed for larger rooms and must be tweaked for smaller study rooms; she said the system can require patrons to acknowledge the weekly-limit rule during booking. “It’s sort of the honor system too,” Rosalia said, but staff will be able to view booking histories and discuss habitual overuse with patrons.
Board members asked how frequently the policy could be revisited; Tom said the library will collect a year’s worth of use data and return to the board with proposed adjustments if needed. The board directed staff to draft procedures that detail how staff will log walk-in, on-the-fly bookings and how manual staff bookings will be recorded so no user bypasses limits.
The vote was recorded as a voice vote and no roll-call tally was provided at the meeting.
