City staff told the committee they shifted the bulk of working-group workshops into January so members would have the complete "vision, goals and objectives" draft in advance; two working groups are slated the second week of December to get the process started.
Staff asked advisory members to push outreach through their networks and to help identify co-leads and subject-matter participants. "There will be a flyer that goes out. It looks similar to this. It has all the working group sessions listed," staff said; committee members discussed evening start times (6:30 p.m.), backup locations and expected attendance (staff recommended planning for ~20 participants per workshop and the capacity to pivot to larger spaces if RSVPs are high).
The city plans to use Microsoft Forms for RSVPs so staff can capture contact information and manage logistics. Committee members recommended allowing people to sign up as interested in multiple topic-area workshops and encouraged removing barriers so residents and local experts can attend. Staff also said they will provide supporting city staff (for example, transportation and engineering staff) to relevant topic workshops.
