The Dearborn Heights City Council on Nov. 13 voted to receive and file the treasurer’s Dropbox policy for the existing City Hall dropbox, formalizing procedures to improve timely and correct payment posting and internal controls.
Treasurer (speaker 8) told the council the dropbox is an existing fixture and that the policy clarifies steps for secure handling of deposit items, emphasizes a no‑cash rule and describes dual or triple control procedures used for receipts. The treasurer said the policy will be posted online and on the box, and that consideration of cameras for monitoring remains under review.
Residents who participated via Zoom had asked whether a second dropbox was being installed and whether the device would be monitored; the treasurer and council members confirmed there is not a new box and reiterated the no‑cash instruction. Council members pressed for procedures to address claims of missing cash or short deposits and emphasized dual control when counting and posting payments.
Council approved the 'receive and file' motion by voice vote. The measure is administrative (a policy receipt) rather than a legislative ordinance or contract, and the council directed staff to ensure posted signage and web notices to discourage cash deposits and to maintain dual control procedures when handling receipts.
