Bend reviewers set timelines and logistics for application review; staff to check Neighborly export options
Summary
AHEC subgroup agreed on sequencing (applicants submit written applications before presentations, finalize scoring after presentations), asked staff to check Neighborly for draft commentary exports, and set Dec. 8 and Dec. 29 deadlines with a Jan. 12 subgroup meeting to finalize materials for AHAC.

At the Dec. 1 meeting, staff and AHEC members focused on practical steps to implement the review‑sheet approach, including when reviewers read applications, how presentations fit into deliberations, and what the Neighborly platform can provide for reviewer comments.
Several members said they prefer to read applications before presentations so they can ask informed questions during applicant presentations. "I definitely wanna read that beforehand," said Todd, expressing concern that prerecorded or canned presentations could advantage groups with more editing resources. Mandy Dalrymple and others emphasized that live presentations with limited guardrails allow reviewers to ask clarifying questions.
Mandy noted Neighborly can hold preliminary reviewer scores and a short narrative 'why' for each point and suggested exporting that material for subgroup discussion. Melissa Kimonya said staff will check whether Neighborly can export draft, non‑final comments so the subgroup can see reviewer rationale during deliberations.
On logistics, Melissa confirmed staff can provide presentation templates and Citi branding, and she offered to place an initial PowerPoint "bones" into which subgroup members can add content. Deadlines were set: staff to assemble a cleaned application version by Dec. 8; reviewers to finish review criteria edits by Dec. 29; and the subgroup will meet Jan. 12 to prepare a presentation packet for AHAC.
No formal actions or votes were recorded.
