Prospect tree board finalizes ArborFest, confirms forestry experts and logistics

The Prospect Forestation board on a Webex meeting confirmed final plans for its annual ArborFest and the fall Canopy program, assigning volunteers and firming logistics for tree distribution and site inspections. Linda (board member) said the event will be a Saturday morning gathering and that Jack Baggett of the Kentucky Department of Forestry and Matt Sullivan of Save a Tree will join the board as guest experts.

Board members agreed to prepare outreach materials and staffing: Ron will supply flags for Canopy participants to place at planting sites, volunteers will handle donuts and coffee, and the group will use a sign and table setup to record recipients and tree types. The board also discussed deer-protection handouts and an inventory for tree species available at the event.

The board set an inspection timeline for Canopy participants: flags should be placed in advance so Andrea and visiting planners can verify sites and record GPS locations; planners will call in utility markings before digs. Linda said the flags should be in place by Nov. 1 so inspections can take place the week of Nov. 3.

Organizers noted last-minute logistics including placing the event sign the Sunday before the ArborFest and ensuring adequate tree guards and table supplies. Volunteers volunteered for setup duties and follow-up tasks; Mandy agreed to help produce typed minutes and Ron will distribute the verbatim transcript to aid minute-taking.

The meeting closed with a reminder that the board will meet again on Nov. 13 via Webex and that members hope for good weather for the ArborFest.
