The South Lane SD 45J3 Board of Education on consecutive voice votes approved invitations for the three highest-scoring superintendent-search firms to deliver interviews and presentations to the board.
District staff collected board members' scored rubrics and reported a clear separation between the top three firms after tabulation. Staff recommended and the board approved inviting Human Capital Enterprises, the Oregon School Boards Association (OSBA), and Ray and Associates to interview and present between Nov. 12 and Nov. 19, with Nov. 14, 18 and 19 as primary options and Nov. 20–21 as alternates.
Staff/Consultant (S6) reviewed the selection process and scoring methodology used by the board: each director scored proposals against the rubric, staff tabulated totals and ranked firms 1–7, and the board discussed those results in public. "You're going to score each proposal using the rubric... and then Tanya and I will collect those up, and we're going to tabulate them," the staff/consultant explained.
Board members discussed strengths and weaknesses of individual proposals during deliberations: members praised Human Capital Enterprises for Oregon-specific experience, extensive outreach and reference detail; members noted OSBA's local knowledge and lower apparent cost but also cited past dissatisfaction in one member's experience; Ray and Associates earned points for a not-to-exceed cost structure and a large recruiting network despite being based out of state.
The board made separate motions to invite the three firms. Each motion carried by voice vote; members asked staff to coordinate logistics and candidate travel reimbursement as necessary. The board discussed whether interviews should be in person or virtual and asked staff to schedule interviews with as much advance notice as possible given some members' calendar conflicts.
Next steps: staff will notify the three firms, confirm presentation formats and costs (including candidate travel/reimbursement and any supplemental fees), and schedule interviews during the identified windows. The board said it expects to use the interviews to select a search partner and proceed with an RFP-based search that will produce a ranked list of candidates for subsequent board interviews.
