Council office unveils resource library, unified email and ITS support to reduce administrative friction

The Executive Committee heard several operations updates on Aug. 13 intended to streamline council members’ daily work. Staff announced a resource library of policy books and legislative primers covering noise ordinances, short-term rentals, sidewalks, trees and parking policy; binders will be available in the office for check-out and staff are digitizing material for online access.
Staff also described a new unified council email and tasking workflow that will accept member requests (non-legislative) and automatically route, track and remind staff. Melanie Cruz said the tool will support attachments and templates, including standardized letterhead, and staff expect to launch the system in the next few days.
ITS support and office hours will be offered on council days and quarterly drop-in sessions will provide hands-on help with mail rules, GovDelivery newsletters, OneNote, Planner and extracting video clips from Metro broadcasts. Staff noted back-of-house editing can produce short clips if members provide timestamps.
Why it matters: Members said institutional memory had been lost between terms and welcomed centralized primers and searchable history. Staff emphasized the digital systems are intended to reduce repeated requests and improve response times.
What’s next: Staff will finalize digitization of primers, stand up the unified email (target: Friday rollout of counciladmin email), publish ITS office hours and circulate guidance on how to request clips or use templates.
