District staff briefed the board on a recent review of seven meeting-management platforms and recommended continuing to use the district's current website rather than procuring a new third-party system.
Staff said the review covered BoardDocs, eScribe, Scribe, OnBoard (Ideals Board), Convene, Boardable and CivicPlus and evaluated accessibility (ADA), records-retention compliance, translation and usability. While staff said BoardDocs and eScribe met the top accessibility criteria, the district had already stood up a temporary solution on its website that meets FERPA, single-sign-on and record-retention needs and is indexed for web search and language translation.
The presenter said staying with the district's current website reduces cost, training and administrative overhead and keeps agenda content immediately discoverable via the district's search and Google indexing. Directors asked about whether the temporary workflow will persist long-term and about archive retrieval; staff said the workflow is intended to continue unless future needs require a commercial platform and that archived agendas and documents from the old server are available and compliant with retention rules.
No formal action was required; the board discussed the topic and generally endorsed the staff recommendation to remain on the current platform while continuing accessibility improvements and archive clean-up.
