The Placentia‑Yorba Linda Unified board reviewed and advanced multiple technology‑related policies on Sept. 9, including a district technology plan (BP 0440), an artificial intelligence policy (BP 0441) and an employee use of technology policy (BP 4040).
Staff framed the AI policy as a set of guiding principles—people‑centered, ethical, transparent, accountable, responsible, accessible, secure and private—and emphasized that use of AI must include professional development and community engagement. Trustees focused discussion on privacy risks (for example, AI transcription services in IEP meetings), terms of service and data retention; Chief Technology Officer Jeremy Powell and staff noted that enterprise vendors now offer contractual terms to limit use of district data for model training and highlighted the need to preserve student and staff privacy.
Trustees urged inclusion of privacy safeguards for special education meetings, data‑handling terms in procurement and teacher training to ensure notice when AI tools are used. The board voted to proceed with the policies (motions on first reading carried) and asked staff to return with second‑reading materials, administrative language and details on how AI tools would be vetted and secured.
