The county approved a $245,080.89 contract with Patterson Pope Inc. for a rolling filing system intended for the district attorney's new office in the courthouse renovation.
Capital Projects Manager Rich Smith (S9) said the purchase falls within the FF&E budget and would be available in roughly six weeks. Some commissioners expressed concern about how the filing system would interface with electronic records, the clerk-of-court's filing systems and the long-term plan for hybrid paper/electronic records. One commissioner asked to postpone the purchase until the district attorney could brief the board; after discussion the board approved the contract 4-1 and requested a presentation from the DA's office explaining how the system will be used and integrated with other systems.
Why it matters: Commissioners noted the county is close to occupying the renovated courthouse space and staff said furniture and filing systems are on the critical path for tenant moves; however, commissioners also highlighted the sizeable cost and asked for assurance the purchase aligns with digital-records strategy.
Next steps: The board asked staff to arrange a briefing from the district attorney's office about the filing system and interoperability with electronic systems.
