Commissioners narrow managed-IT RFP to four vendors and schedule interviews

Staff reported 11 respondents to RFP 25-04 and explained the scoring matrix used to evaluate proposals (scope, service-level agreement, security protocols, pricing, and a localness preference for firms within 100 miles). Commissioners emphasized local economic benefits and the importance of not selecting the cheapest vendor without evaluating service levels. Several vendors in attendance introduced themselves.
By consensus the court agreed to invite Stratmont Group, McLean Intelligent Solutions, Sam Goldsmith’s firm (identified in the packet) and F8/FA Tech for one-hour presentations, to be scheduled in a single day (two in the morning and two in the afternoon) so commissioners can compare answers directly. The court asked staff to prepare a standard list of questions, to host vendors individually so other vendors are not present during competing presentations, and to invite technical advisors to help evaluate the proposals during interviews.
No final contract award was made; staff will finalize dates and send invitations to the shortlisted vendors.
