Staff said the current platform (version 9) has been in place more than a decade and is approaching the end of vendor support. The recommended plan calls for: moving the court system from an on‑premise server to a cloud instance, scheduling the city for the vendor’s implementation calendar (a process that can take 12 months to enter and another 6–10 months to implement), performing a business‑process review, and consolidating duplicate licensing/modules to reduce long‑term costs.
Estimated costs provided in the meeting materials totaled roughly $82,000 (project and process‑review estimates), funded from the equipment‑reserve fund. Staff said the quoted amounts are approximate and that final costs could be adjusted after the business‑process review and vendor negotiations. Training, project management and implementation support are included in the quoted package.
The commission moved and seconded the item and approved it by roll call. Staff will proceed to schedule the implementation and return with contract documents for council review and the eventual budget approvals necessary for final contract execution.
Outcome: Motion to proceed to get on the vendor calendar and begin the migration process was approved unanimously. Staff will present final contract terms and a more detailed implementation schedule for later commission approval.
