Jan said the contractor—s timeline is aggressive and that final fabrication would likely occur in spring 2025, so the commission should expect follow-up meetings with the selected vendor and with the historic-district commission on design details.
CPC schedule and Hosmer House: Jan reviewed the CPC public-hearing schedule (Nov. 20; Dec. 4; Dec. 18) and which Hosmer House items will be presented (envelope and grounds, collection study and roof); commissioners asked for clearer itemized cost estimates to accompany CPC applications. The commission also noted two open houses for Hosmer (upcoming weekend and holiday open houses Dec. 7') and logistics for volunteer staffing and decoration.
Archival storage concern: Chris Hager raised that some boxed collection material had been moved into the Hosmer House art room, which currently lacks HVAC control. The commission asked staff to check with Facilities or Sandra (facilities contact) before moving archival material and to consider moving boxes back to the ballroom where environmental controls are better.
Historic-house markers and outreach: Margie reported a Littleton-based craftsman willing to produce Sudbury house markers in the commission—s style for $95 each, in wood or PVC; commissioners discussed potential advertising to inform historic property owners and the need for historic-district approvals where applicable.
Finance snapshot: the historical commission fund balance was presented at about $8,266 (with a separate salary account and projected cleaning costs); the Hosmer fund balance is approximately $18,851. Commissioners discussed likely salary and cleaning expenditures and discretionary availability for the remainder of the fiscal year.
Next steps: the commission will solicit contractor details and sign contracts for the cemetery kiosk when appropriate, provide detailed CPC cost breakdowns, clarify archival storage procedures at Hosmer House, and coordinate outreach about house markers.
