PEIMS and CCMR audit: Belton ISD outlines five goals to strengthen data accuracy and training

Belton ISD staff on Jan. 27 presented a follow‑up on a PEIMS (Public Education Information Management System) and CCMR audit that identified weaknesses in data processes and recommended structural changes to reduce risk to funding and accountability.
Shad, who presented the audit update to trustees, summarized findings from the earlier report: inconsistent data entry workflows across campuses, lagging bilingual funding, challenges in processing free‑and‑reduced‑lunch applications, a need for more IBC certifications and a lack of documented procedures for personnel handling PEIMS submissions.
To address those issues Shad outlined five goals: conduct audits and data validations for each campus; develop and launch an internal online PEIMS resource hub with policies and training; provide professional development with a mandatory three‑day session for new registrars and a one‑day session for all staff (with additional online options); ensure each campus has trained backup personnel; and improve communication through a PEIMS calendar and regular check‑ins with campus leadership.
Shad said the district has also coordinated with nutrition services to make the online lunch application easier to find, to use ParentSquare for better communication about eligibility and reminders, and to implement verification steps to improve the accuracy of student records that determine meal benefits.
Gabby described parallel work on CCMR (College, Career, and Military Readiness) coding and said the district has developed a process map for course scheduling that clarifies roles for collecting data and assigning coding. "We have embedded a natural redundancy in our processes to ensure accuracy," Gabby said, explaining cross‑department reviews of course offerings and weighting.
Trustees thanked staff and asked clarifying questions about who performs data entry on campuses and how redundancy will operate; presenters said primary leads remain at campuses but training and backup roles will be expanded to prevent single‑point failures. The board did not take formal action beyond receiving the update.
