Chickasha to roll out CivicClerk upgrade with electronic voting, video bookmarking and board portal

City staff told the Chickasha City Council they plan to deploy an upgrade to the CivicClerk/CivicPlus platform in early 2025 that will include board portal logins for council members, electronic voting devices in chambers, automated minute snippets and CP Media video bookmarking so viewers can jump to specific agenda items.

Shay, speaking for staff, said the platform will be web‑based and mobile friendly and that the city already purchased Chromebooks in 2019 that can be used as initial take‑home devices. She said votes will be entered by council members on devices and displayed on the meeting screens after the voting window closes; members will have a short interval to change their selection before saving. Staff told the council the upgrade is expected to reduce hours spent on packet compilation and to cut paper use.

Council members asked whether packet delivery timing would improve, whether printed packets would still be available for members who need them, whether the devices can be personal tablets and how long training will last. Shay said the packet is available as soon as the agenda is approved and the platform allows printing. On security, staff said the platform includes standard protections and uses cloud backups; Susan (city clerk) will still be able to enter votes manually if an outage occurs.

Shay said the city anticipates soft rollouts and one‑on‑one training for members and staff before full deployment. The council did not need to take action on the upgrade at this meeting.
