Commission agrees to photo, inspection and emailed approval to finalize Harmonic Media plaque order
Summary
Commissioners discussed a proof‑of‑concept plaque from Harmonic Media and, concerned about a year‑end budget reset, agreed by consensus to have a commissioner inspect the delivered plaque, circulate photos and recommendations by email, and allow staff to place an order pending emailed approval.

Members discussed the status of a proof‑of‑concept plaque ordered from Harmonic Media and identified a practical path to complete the purchase before an apparent year‑end budget reset.
Staff reported the proof‑of‑concept plaque has been paid for and that vendor lead time was 7–10 business days; the plaque was expected to arrive imminently. Commissioners expressed concern that an unused budget allowance might lapse on Jan. 1 if they did not act before year‑end.
Rather than reconvening a special meeting, members agreed they could rely on a photograph of the delivered plaque plus an in‑person inspection by an appointed commissioner. The appointed inspector said they would measure and examine the sample and then circulate a recommendation by email. Staff said they would place an order (the commission recalled a prior order size of 10) once a written email approval was received.
The decision was reached by consensus; no formal motion or recorded roll‑call vote was taken. Staff said they will circulate plaque photos as soon as they are available and will proceed with the ordering process after the emailed approvals are collected.
The item will remain on the agenda for June as a follow‑up if additional review or modifications are needed.
