Special events team rebrands Denton Drive Live to Meadow Nights, expands VIP offerings and shifts some large events indoors

Jessica Alvarado and the special events team updated the board on second-quarter planning for city events. Staff said they will rebrand Denton Drive Live as Meadow Nights to reflect the venue and location; ticket sales for Independence Day (including VIP cabanas) are planned to start July 8. Staff reported increasing VIP cabana inventory from four to 10 in response to demand and described the cabana package (tent, chairs, and meals) and preliminary pricing.

Staff also discussed funding and operations: the events team has consolidated some marketing and social channels to centralize event information, has reduced staff positions within the events group but intends to maintain core offerings, and is exploring sponsorships to offset costs. For Bloom & Bluegrass, staff said they are exploring moving the 2025 edition to an indoor hotel model during a lower-occupancy season to reduce weather risk and leverage tourism partners for broader economic benefit; the Bluegrass event will proceed this year in its usual format but may be reconfigured in 2025.

Next steps: staff will finalize ticketing and VIP logistics, pursue sponsorships for Independence Day, and return with any budget or procurement implications for council consideration.
