Committee asks for new quotes on park communication board, updates sensory room anniversary plans

The Miami Lakes Community Events Committee reviewed progress on park features and special‑needs programming and asked staff and project leads to seek additional vendor quotes before returning to council.

Members said the communication board proposal previously presented to town council was declined because the installation cost raised the total beyond the committee’s approved amount. Committee members noted an estimated $6,000 cost for the sign itself and roughly $8,000 for installation and asked Jeremy (project lead) to research lower quotes and alternative installers. The committee reminded members that any new vendor requires a W‑9 and that projects with costs above the town’s small‑purchase threshold will be forwarded to town council or procurement staff for review.

Separately, the committee confirmed logistics for the 25th‑anniversary sensory room event: set‑up by 3 p.m., event open from 4 to 8 p.m., adult volunteer policy for certain roles, and the need for parental signatures for teen volunteers. Staff contact Ernie was identified as the facilities/janitorial point of contact to assist with storage access and setup. Committee members also discussed coordinating the town’s animation class and recruiting local vendors and artists for upcoming events.

Next steps Project leads will collect itemized quotes and W‑9s and return to the committee with a procurement recommendation. The committee plans to report event proposals to town council once vendor, installation and budget details are finalized.
