Administration told the School Committee it could not locate written approvals or some contract documents for several bus drivers and spare buses in older records and therefore recommended re‑approving the present roster to ensure compliance and a clear paper trail.
A transportation staff member said they had searched previous files and found a mix of letters, asset lists and occasional missing documents; in one case a letter adding a driver to a contract was located but not yet uploaded to the asset list. The committee asked whether substitute drivers are assigned to particular buses; staff said substitutes typically cover field trips and athletics and many are registered with DOT requirements.
Separately, committee members debated the custodianship and title status of 'spare' buses. Staff explained historic practice of transferring custodianship without recapturing titles at contract end, and members asked the administration to catalogue ownership, VIN numbers, and contract expiration/transfer language. "Something that, but it the the drivers own them" and follow-up clarifications were discussed; staff will return with corrected VINs and a documented chain of custody.
The committee approved the listed bus drivers and the recommended bus transfers but directed administration to compile and correct contracts, VINs, and title documents and present a status update at a future meeting.
