Railroad Days organizers to report sponsorship allocation, staff to provide attendance data

At the November Recreation Advisory Board meeting, staff reviewed Railroad Days expenses and sponsorships and agreed to provide a breakdown of how annual sponsor payments were apportioned to Railroad Days, ticket-sale revenue and visitor-bureau attendance pings.
Staff gave the board a program breakdown for this year’s Railroad Days, including expenditures and sponsorships, and said the packet included the sponsorship totals on file. Board members asked whether listed sponsor amounts (for example a named $2,500 sponsor) were the sponsor’s full annual payment or only the portion assigned to Railroad Days. Staff said she would “double check and see” what percentage applied to Railroad Days and report back.
Speaker 3 noted the scale of the event and its costs, saying, “we are talking about a $130,000 event,” and asked for a clearer accounting of miscellaneous revenues and ticket-sales revenue. Staff said she will pull ticket revenue numbers and check visitor-bureau attendance reports that track device pings to provide a better estimate of nightly attendance and which nights most attracted visitors.
The board did not take a formal vote on the Railroad Days report but requested a follow-up with: a) the sponsor allocation percentage for each listed sponsor, b) a breakout of miscellaneous revenues at the event, and c) an attendance estimate from visitor-bureau data. Staff committed to returning with those figures to inform future planning and budgeting.
The board emphasized that clear revenue figures are critical if it is to advise on whether to continue the event in its current format or consider hiring event coordinators to lower costs in future years.
