Board approves new $9.95M ERP implementation with CherryRoad, extends Oracle subscription

The Washoe County School District board approved a new enterprise resource planning (ERP) implementation agreement with CherryRoad Technologies for $9,954,960 and reauthorized Oracle Cloud ERP subscription agreements with an estimated total cost of $11,433,728.25 over a possible nine‑year term.
CIO Chris Turner and CFO Mark Mathers told trustees the decision followed performance problems with the prior implementer and multiple vendor personnel changes. Mathers said the district negotiated contract provisions that could provide credits for prior work done under the earlier contract and extended the implementation timeline to a July 1, 2027 go‑live to align with the fiscal year and allow broader training. "This project is capital funded. It is not a general fund cost," Mathers said.
Staff said they assessed vendor references, that CherryRoad has significant K‑12 Oracle experience, and that the new contract includes stricter deliverables and reporting expectations than the prior agreement. Trustees praised the district ERP team for identifying issues and moving quickly to replace the prior implementer.
Clerk Woodley moved to approve the CherryRoad and Oracle agreements; Trustee Nicolette seconded and the motion passed 7–0.
District staff said the revised budget accounts for prior payments (about $1.87 million disbursed to the previous vendor) and consultant savings; the board was told the net cost could be neutral or a savings if work already completed can be applied and credited in the new contract. Staff emphasized the scale and complexity of an ERP conversion and outlined next steps for change‑management and user training.
