Speaker 2 described an estimated IT upgrade that includes three servers, 32 Wi‑Fi access points, two switches and backup hardware. "My huge one in IT, system upgrade project, 3 servers, 32 Wi Fi access points, 2 switches, and backup hardware," Speaker 2 said, noting an initial estimate and that no formal bid had been issued. Staff explained that existing access points and some servers have reached end-of-life and that replacements are needed to maintain security and vendor support.
Members raised compliance concerns: HIPAA and CJIS requirements were cited as reasons to keep equipment current and to avoid security breaches. Committee members requested a detailed cost breakdown (cost per server, per access point, manufacturer information) and said the county should put the work out to bid if the CIP or operating budget includes it.
On telecommunications, staff said they consolidated phone bills and moved them into a centralized maintenance budget to make responsibility and bill payment clearer, and reported licensing savings on Microsoft Office by tailoring suites to actual employee needs.
The committee did not immediately approve funding; members asked staff to provide detailed vendor quotes and to pursue a formal RFP/bid process before committing funds.
