Southborough IT director reports .gov email migration, townwide Wi‑Fi and capital request for phone system

Jay Montillo, Southborough's IT director, told the Select Board on Dec. 16 that the town moved its municipal email accounts to .gov addresses over the past year and completed an annual cybersecurity penetration test that "came back pretty clean." Montillo said those steps were part of broader efforts to reduce risk and train staff: "we just try to keep things as safe as possible" and the department runs regular phishing‑style test emails and warning notices to staff.
Montillo said the town has finished installing Wi‑Fi in previously dead spots, including connections at the Department of Public Works, and is upgrading the McAuliffe hearing room to support hybrid meetings. "Pretty exciting stuff to have Internet in locations that we didn't have any Internet," he said, adding that DPW fiber work and camera upgrades are also underway.
The director told the board he has submitted a capital request to replace the town's on‑prem phone system, calling the equipment "outdated" and near end‑of‑life. "It's best for us to move in that direction of getting things off of our locations and into the cloud," Montillo said, citing benefits such as redundant ISPs and failover for continuity. He said moving phones to the cloud would avoid future licensing limitations and make it easier to add phones in new locations.
Board members asked about the website contract (Montillo said renewal is scheduled in January) and single‑sign‑on work. Montillo noted work to embed applications into Duo for SSO and gave an overview of staff training efforts. Members praised IT's responsiveness and told Montillo they appreciated having an in‑house team rather than outsourcing.
The board did not take any formal vote on IT capital requests during the meeting; Montillo said he is still coordinating with the Capital Committee and will return with details as the capital process advances.
