Courts adopt OnBase for records access; invoice reallocation and scanning project discussed

Court technology staff told the board on Nov. 23 that the county has expanded OnBase use to juvenile court, probate court and friend‑of‑the‑court services. "We now have OnBase for juvenile court, probate court, and friend of the court," a presenter said, adding that adoption files and back‑scanned records will be available to court staff via the system.
Staff explained that in the past many OnBase licenses were unused or held centrally by IT; license redistribution will allocate costs to the court departments that use the service, which staff said will more accurately reflect expected billing across departments. The presentation described a completed bulk-scanning project for older files and an ongoing program to scan additional records to improve departmental access.
Commissioners expressed support for the approach, saying it should reduce costs over time by eliminating unused central licenses and by making records easier for court staff to access. Staff indicated that the change will improve service delivery for court operations and recommended proceeding with invoice distribution and continued scanning.
