Committee members pressed staff for clearer policies on venue usage, cleaning and security ahead of planned AV, Wi‑Fi and acoustic upgrades for Jennings Pavilion and other park facilities.
Several members described recent problems inside town venues: muddy floors after weekend activities, donated artwork damaged or stolen, and indoor exercise classes that could harm art and facility finishes. One member said some classes were moved indoors because of cold weather and expressed concern about exposing artwork and new equipment to active classes and children.
Members discussed options to reduce risk: requiring larger deposits, stronger contract language with event managers about opening/closing and cleanup, using event‑manager on‑site staff during major events, and deploying cameras in facility areas. "If you see the damage, you can watch the tape," one committee member said while others raised privacy concerns tied to indoor monitoring.
Staff noted that damage claims can be covered by deposits and insurance and that contract language can address cleanup responsibilities. The committee advised resolving monitoring and oversight policies before installing costly AV and acoustic upgrades.
Next steps: staff will compile revenue and permit data for venues, check which events had permits, provide cost estimates for security/monitoring options and report back at the next meeting.
