Charles White, director of media technology for Lenoir County Public Schools, presented the results of an RFP for copier and print services at the Dec. 8 board meeting and recommended the district pursue a three-year contract with options to renew.
White said the district received seven proposals from five vendors and convened an evaluation committee including principals, curriculum specialists and a digital learning specialist to score proposals across instructional, operational, technical and financial criteria. He told trustees the committee weighted cost most heavily to reflect financial efficiency but also considered equipment reliability and service quality.
White recommended a three-year term with an option to renew up to two additional years to provide flexibility as district needs evolve. He said the evaluation focused on cost per copy rather than the absolute number of machines, and that the RFP included provisions to allow adding capacity without immediate additional cost if district needs increase.
The presentation concluded with staff saying the contract proposal would be prepared for formal consideration at the next board meeting; no final contract was approved tonight.
