Kingsport board to switch phone service; district projects roughly $12,000 annual savings

David Fry told the board the district has been using Zayo Education LLC for voice services and recommended switching to United Data Technologies Incorporated under a TIPS cooperative contract (TIPS USA contract 230105). Fry said the district currently pays about $6,400 per month for phone service and that the United Data Technologies option would cost about $5,733 per month, a reduction of roughly $670 per month and slightly more than $8,000 annually on the voice service alone. He also noted additional savings from consolidating a third-party fax provider (currently about $760 per month) into the new service at $418 per month, bringing total annual savings to a little over $12,000.
Fry described operational benefits of the recommended provider, including an ability for in-house staff to manage more aspects of the phone system, an integrated fax service and a “pinpoint 911” feature that can identify the location within a school from which a 911 call originates. After questions and supportive comments from board members, Speaker 5 moved to accept the recommended change and the motion was seconded; the board proceeded with the approval process.
The recommendation includes switching during the upcoming spring break timeframe and implementing services under the cooperative purchasing contract cited in the presentation. The board recorded the motion to adopt the change; staff will follow up to implement the migration and confirm final billing and cutover timing.
