West Chester planning staff requires Thursday cutoff for meeting materials; meetings consolidated on some months

At the start of the session staff announced administrative changes affecting planning commission workflows. Aaron Flook, director of building and housing, told members that meeting materials must be submitted by the Thursday before a meeting so staff can upload files by Friday at noon. Items submitted after Thursday 4 p.m. will not be uploaded to the meeting platform but may be printed and distributed as handouts.
Commissioners also discussed a proposed change to the regular meeting schedule — meeting days will be moved to the first and second Monday of each month to reduce conflicts — and noted holiday calendar impacts (combined sessions in months with holidays). Members agreed to review commission procedures in January and asked staff to add that review to the January agenda.
Staff asked commissioners to route new agenda materials in compliance with the new deadline so members and the public have adequate time to review materials in advance.
