Finance Director Karen Scott told the board the city needs a one-year amendment with Tyler Technologies, Inc., to continue using the New World Systems software through the planned ERP migration. "We will be required to sign the agreement and remit the full year cost of $172,470 before 02/01/2026 in order to ensure uninterrupted functionality in New World Systems," Scott said.
Scott said the city is converting its accounting and ERP systems and expects the new software go‑live on 07/27/2026. Staff had proposed a month‑to‑month bridge but Tyler required a full year amendment; the contract includes a refund provision for the number of months after Feb. 1 the city no longer uses New World Systems, which staff anticipates will be about six months. "The financial impact is none because when we developed the 2026 budget, we did know about this requirement from Tyler and did include that full amount in the budget," Scott said.
The presentation did not record a vote; the resolution (R2602) was placed on the Jan. 6, 2026 agenda for formal action. The item summary and the board packet should be consulted for full contract language and the refund mechanism.
The board is scheduled to consider the amendment at its formal meeting on Tuesday, Jan. 6, 2026 at 6 p.m. at City Hall.
