The staff report listed a contract value of $851,415 over three years; McMullen noted a typo and said the contract text covers four years and five fiscal years.
McMullen described the purchase as a full replacement of the county’s current tabulation system, including setup, hardware, software licensing, maintenance and training. She said the new system will use four higher‑speed scanners (down from six slower units) and that the vendor is used by other large Oregon counties; the contract in the packet runs through 12/31/2029 and the clerk’s office expects to renew after that point. Commissioners asked whether the scanners have any network connections; McMullen and staff confirmed the machines will not have internet or Wi‑Fi access and that the systems are certified at the state level.
Chair Roberts thanked the clerk’s office and said the item will return on the Dec. 18 business agenda for final approval. Commissioners asked the clerk’s office to follow up with lifecycle and capacity details to ensure future growth will be accommodated.
Next steps: staff will correct the staff report typo, provide additional lifecycle/capacity information to commissioners and place the contract on the Dec. 18 consent agenda for a final vote.
