Board moves to approve copier and print services recommendation; contract pending legal review

District staff recommended a three-year copier/print services contract with an optional two-year renewal with Toshiba after a rubric-based RFP evaluation; the board approved the recommendation pending final legal review and contract edits.
Charles White, director of media and technology, presented the results of the district’s RFP for copy and print services, reporting seven proposals from five vendors evaluated by a committee that included principals, curriculum coaches, technology and finance staff.
"After the evaluation, each committee member independently scored all proposals using a detailed rubric," White said. He told the board cost carried the highest weight in the evaluation. White said contract language had been edited and forwarded to Toshiba and the district’s attorneys for final review and that the recommendation to move forward was for a three-year contract with an optional two-year renewal pending completion of legal review.
A board member moved to approve the contract recommendation, and the board voted in favor by voice. White said final contract edits remain under legal review; once those are complete staff will return with the executed contract for the board’s records and any required implementation steps.
The RFP evaluation committee members and the scoring rubric informed the recommendation; staff said the committee prioritized solutions that balanced instructional, operational and technical requirements with financial efficiency.
The motion carried; the board directed staff to complete final legal review and bring the finalized contract back to the district attorneys and board as appropriate.
