IT staff explained the invoices include split funding (IT funds, county attorney storage charges and cost‑recovery for agencies) and noted one vendor (Proofpoint spam filter) showed an approximate 11% price increase; staff said they were seeking alternative quotes but presented a worst‑case scenario cost. For the cloud backup proposal, staff recommended a three‑year term as the most cost‑effective option, and noted a one‑year term would have cost several thousand dollars more per year.
An authorization was made to allow IT staff to pay invoices up to the figure presented in the meeting and to accept the recommended cloud backup quote (three‑year term) to provide enterprise backups for email, Teams and other cloud services. Commissioners approved both items by voice vote.
IT staff said they will continue to seek better pricing for the spam filter product and will return if final costs exceed the approved authorization.
