County IT update: phone-system replacement, web-accessibility deadline and an AI policy in development

Director Klein briefed the Infrastructure Committee on Jan. 8 about current county CCIT work, including phone-system replacement, web-accessibility compliance, procurement and early AI policy work.
Klein said the county is "pretty deep in working heavily on the replacing our phone system" and noted a vendor shipped the wrong equipment, which staff are replacing. He warned the county must comply with federal website accessibility rules by April and said a task force is working on required changes for both county-managed sites and contracted platforms.
Klein said the county has made limited progress migrating mobile devices to Intune and described recent procurement activity: an RFP was released for public safety and law-enforcement scheduling software to replace the longtime IntelliTime system, and a jail intercom project RFP issued in December is nearing vendor selection. On workforce tools and training, Klein said Lance and a small team are drafting an AI policy and short staff training: "The main priority right now is to get some training in place… probably 10 or 15 minute video that we would have everybody review." He emphasized that public AI tools should not be used for confidential information.
Staff offered to provide additional broadband briefing materials if committees plan to discuss broadband again. Klein also referenced assistance from Northcentral HealthCare’s learning development team and Brandy Thorne for internal training development.
Next steps: staff will continue procurement processes and return with updates on RFP outcomes, accessibility compliance and the AI policy development timeline.
