Staff said the organizer expects 12–15 participating organizations and estimated equipment rental at roughly $700 if 50 tables and chairs are required; staff also noted per‑unit rental estimates of about $14 for a table plus two chairs. Commissioners agreed to a "not to exceed $500" allocation that will be forwarded to City Council as part of the commission's budget approvals if required.
The motion was made by Commissioner Jimenez and seconded by Chair Hyland; a roll-call vote recorded ayes from Commissioner Jimenez, Commissioner McCollum, Vice Chair (listed in the record as) Bey Chiu and Chair Hyland. Chair Hyland announced the motion carries with all ayes.
Staff and commissioners discussed logistics (number of tables and chairs, potential use of city inventory vs. rental, storage and set-up costs) and emphasized coordination with DRD for programming and Desert Healthcare for outreach and clinical participation. Commissioners were reminded that monetary requests beyond the commission's budget would require City Council approval; the commission has roughly $6,600 remaining in its small-events allocation for the year.
