The Sumner County Library Board took several administrative steps during its meeting, approving a plan to hire a trained minute-taker, electing a secretary and agreeing on a budget timeline ahead of March 1 state/finance deadlines.
Board members discussed options for a paid minute-taker: regional finance staff said a vendor/W‑9 procedure is available, and pay ranges cited in the room were $50–$100 per meeting depending on length, with a local budget line that could cover roughly $600–$1,200 a year depending on frequency (speaker 6 and finance representative, SEG 800–861). Speaker 6 moved to hire a qualified note taker who could start at the next meeting and later accepted board authority to hire the candidate at his discretion; the motion was seconded and the board approved it.
On officer elections, a board member volunteered for the secretary position; the board closed nominations and voted to accept the volunteer and welcomed the new secretary.
On finance, regional staff (Beth) and the treasurer outlined the budget worksheet timeline: finance will attempt to issue worksheets by Jan 20 (no later than Jan 31), libraries should return completed budgets to finance by March 1 or the FY26 budget will be used as a default. The board agreed directors should return draft budgets to the board for review before finance submission and discussed converting the February meeting to a work study and scheduling a special-call meeting later in February to finalize budgets if needed. Treasurer reported branch budget percentages and noted Gallatin capital-project spending of $13,075 of a $53,000 allocation.
The board's administrative votes were procedural and intended to ensure accurate minutes, continuity of officer duties and timely review of budgets in advance of county finance deadlines.
