Summary
Presenters walked coordinators through ACT Now/TCM roles, task-card procedures, room setup, seating assignment, authorization tickets, TestNav timing, irregularity logging, and post-test material collection and reporting. They emphasized consulting the accessibility guide for accommodated timing.
During a recorded training hosted by the Utah State Board of Education, ACT staff guided district and school test coordinators through specific test-day responsibilities and the online tools they must use to manage testing.
The presenters said schools must assign appropriate ACT Now/TCM user roles (contract coordinator, district test coordinator, school test coordinator, student data importer, organization invitation importer, test accommodations coordinator and test event staff) so staff have the access needed for assignments and oversight. "It is important to know that all staff that have responsibilities on test day should be assigned the appropriate user role within ACT Now," an ACT presenter said.
On test day, room supervisors should prepare the room (two reliable timepieces, silenced phones, adequate lighting and ventilation) and follow the task cards provided in TCM. Task cards replace paper scripts and must not be marked complete before performing the live administration; the presenters warned against opening a live test room before test day because completed task cards cannot be undone.
Security and timing: supervisors distribute unique authorization tickets for each examinee and use the test room in TCM to unlock tests; TestNav maintains official timing for each student so examinees may end at slightly different times. Presenters instructed staff to mark absent students in TCM to free them for makeup testing.
Irregularities and documentation: presenters explained how to report distractions, interruptions or prohibited behavior by creating an irregularity in TCM, selecting the appropriate type, logging time/duration/affected examinees and adding notes so coordinators can determine next steps. For uncertain cases, presenters advised contacting ACT for guidance.
Q&A covered practical staffing questions: presenters said athletic coaches may serve as room supervisors but may not serve as test coordinators per the administration manual, and emphasized that staff who will serve as a test coordinator must complete USBE testing ethics training.
The training concluded with a reminder that the recording and slide deck will be posted online for later reference.
