Board reviews draft unified complaint form, asks for response timeline and Spanish translation

Superintendent Ponder presented a first-draft consolidated complaint form at the Jan. 13 Yuma Elementary District board meeting and asked board members for feedback before sending the draft to legal counsel for review.

Ponder said the form was intended to combine different complaint versions into a single, user-friendly form and included introductory pages explaining purpose and expected timelines. He thanked Mister Acosta for leading the effort and invited board suggestions prior to a second read.

Board members and staff asked for specific clarifications: add a field to indicate whether the complainant is filing on behalf of a student, include a date/time stamp or explicit response-date field so the district can demonstrate timely responses, and ensure the form routes IDEA or harassment complaints to the appropriate policy channels rather than treating all complaints identically. One board member suggested the form include a blank space for a response date that staff could write in as events progress. Ponder said the intention was for the form to cover multiple complaint types and for staff to route each to the policy that aligns with that complaint.

Board members also requested the finalized form be translated into Spanish. Ponder and others agreed to return a revised version after legal review and to collect public and member feedback over the next week.

Next steps: staff will compile suggested edits, send the draft to legal counsel to confirm alignment with applicable policies and timelines, and bring a revised version back for a second read and formal board consideration.
