Laura (Community Development staff) and event co-organizers said a sponsorship list and sponsor logos are needed promptly because brochure printing and catering commitments depend on confirmed sponsors. Committee members described a sponsorship-driven ticket model and discussed using about $1,700 in leftover funds to secure a photographer and awards, while raising an estimated $1,900 to cover other event costs.
Committee discussion included venue capacity: event materials list the room at 250 but members cautioned actual seating for a buffet arrangement could make practical capacity closer to 180; the EDC recommended a registration deadline and closer head-count management. The committee also discussed awardee guest limits, with award winners allowed to bring up to five guests, and practical registration and name-tag logistics handled by Curry.
Committee members agreed to divide sponsor outreach among ambassadors and to share a previous invitation email as a template. Westboro TV will produce video profiles of award recipients and the committee will gather sponsor logos and participant lists ahead of the event.
Next steps: staff will collect awardee guest lists, circulate a master invitation list, gather sponsor logos, publish a registration link and set a registration deadline to manage venue capacity. No formal vote on the event budget or scope occurred during the meeting.
