Planning Board updates: zoning consultant selected, Feb. 25 set as hybrid meeting and CivicPlus transition discussed

At the end of its Jan. 28 meeting, the Birmingham Planning Board heard administrative updates on the zoning ordinance project, meeting scheduling and agenda software.
Planning staff reported the City Commission voted unanimously to select consultant Tazio Levine and that contract paperwork has been completed, allowing the zoning ordinance work to start in the near term. Staff said the board should expect zoning work to appear regularly on upcoming agendas and noted a meeting in February is likely as the project ramps up.
The board also voted to make the Feb. 25 meeting a hybrid session to accommodate site-plan reviews and study-session items; the motion was made by Mr. Williams and seconded by Ms. Boyce and recorded as passed unanimously. Members discussed canceling the Feb. 11 meeting because the agenda looked light and considered whether to shift regular meeting start times to 7 p.m. to align with the City Commission.
Staff previewed the city's transition to CivicPlus agenda software and said the Planning Board will move to the platform by June with time for training. One board member asked whether notes and annotations would remain private; staff cautioned that notes may become public records in some cases, saying "notes become public information" and recommended a tutorial on open-meeting implications and tablet workflows.
The board closed by agreeing to concentrate on the zoning ordinance project as its primary work for the near term.
