Steve (village management) described the periodic bidding cycle for this routine maintenance item and said the recommendation is for $97,500 with a $9,000 contingent account to cover additional areas that might become a concern. The manager and council clarified that the purchase order authorizes spending over the three‑year contract period but that vendors will be invoiced and paid only when work is performed, not as an upfront lump sum.
Council members asked about inspection frequency and were told a part‑time public‑works inspector (Frank) monitors the contractor’s work and responds when problems are identified. The Vice Mayor noted savings relative to prior contracts and the council discussed seven identified locations and the possibility of work orders for additional sites. Council moved, seconded and approved the contract by unanimous roll call.
Staff said the PO reflects authorization to manage spending across the contract period so management does not need to return to council yearly to reauthorize the same amount if the engagement continues.
