Golf Manor Village’s Executive Committee spent significant time on Feb. 3 addressing a stalled rollout of a collaborative onboarding tool intended to put council materials on a Microsoft government cloud and give each member Outlook and Office access.
Speaker 2 reported the rollout “has been grinded to a standstill for 8 weeks at this point,” saying Microsoft reports the tenant and domain are not available when the community tries to initiate the government cloud setup. Speaker 2 also stated there appear to be issues between Microsoft and Motorola, the vendor that hosts the village’s body and cruiser cameras, which complicates the cloud activation.
To resolve the problem, Speaker 2 said the village engaged a third-party IT firm and forwarded a proposed contract to the village attorney for review. “They sent us a contract which I forwarded to the attorney. Attorney had some specific issues with the language that they had proposed,” Speaker 2 said; the transcript shows the attorney has outstanding comments and the village is awaiting a response.
Committee members discussed device standards and costs for council members. Speaker 2 estimated the recurring expense for the cloud service at roughly $1,000–$1,200 per year and suggested Surface tablets (about $400 each on the low end) or Chromebooks to simplify setup and avoid Apple ID complications. Speaker 2 also noted potential cellular backup via a SIM card (~$10/month) so devices have reliable internet access. Speaker 1 said they will raise the procurement question with finance and email a contact (Zach) to explore funding options.
No final procurement decision was made. The committee asked staff to obtain quotes and bring funding options to finance ahead of further rollout work.
