Summary
Staff told the committee the playground contractor contract has been finalized and is in the design phase, RomTech restroom design drawings are underway with no ETA for construction, and the Genesys Pavilion phase 1 (board/Zoom capability and screen) is approved while other AV upgrades were deferred pending neighbor feedback and budget review.
Town staff provided updates on several capital projects and related maintenance items at the Parks & Recreation meeting.
Playground: Staff said the playground contract has been approved and is currently with the contractor; the project team is completing construction drawings and expects design deliverables within one to two months but had no firm groundbreaking date. The committee asked whether the contract was no‑bid; staff said the procurement process was being finalized and they would report back.
RomTech restroom/bathroom: The RomTech contract has been finalized and is in the construction‑drawing phase. Staff said these drawings will be used to solicit construction bids; there is no ETA on construction start.
Genesys Pavilion AV: Committee members confirmed phase 1 (the board, Zoom capability and screen) was approved; phase 2 (a higher‑luminosity projector) and phase 3 (outdoor speakers) were deferred due to cost and neighbor concerns. Staff will find vendors and return contract details for phase 1 implementation.
Other items: BrightView QSA was distributed and staff noted an estimated $34,000–$35,000 for removal of a courtyard eucalyptus tree. Members also discussed cleaning schedules for Jennings Pavilion (rental spaces are cleaned on an as‑needed basis and library programming should cover costs), and the event manager contract remains under negotiation with at least one vendor having completed a tasting. The committee was reminded that council retains final vendor selection authority.
Staff will bring follow‑up details, procurement clarifications and budget implications to future meetings.
