Committee approves $15,000 contingency to support Extension office move

Mary, an Extension staff member, told the committee the Extension office is consolidating from six rooms to three and may need locking cabinets, partitions and other items to make the smaller footprint functional. “We’re not exactly sure what it’s gonna look like and what kind of storage we’ll need,” she said, asking for flexibility to purchase equipment once the space plan is finalized.
Committee members discussed process and oversight. Staff recommended moving the unspent Extension budget into contingency so the administrator or designated staff could approve purchases as needed and report back to the committee. Members agreed a cap would be prudent; the committee settled on a $15,000 cap to ensure quick setup without repeated approvals for small purchases.
A motion put $15,000 into contingency for office moves and furniture; the motion was seconded and passed.
Staff said remaining unspent funds from the Extension budget will flow automatically into contingency, and they will seek to reuse furniture from other departments when appropriate to limit costs.
Next steps: staff will manage purchases under the $15,000 cap, prioritize reuse where possible, and report spending back to the committee.
